Between meetings, decisions happen in chaotic email threads, group texts, and hallway conversations — with no record, no quorum tracking, and no legal defensibility. Scheduling special meetings for time-sensitive decisions (emergency repairs, vendor approvals, violation responses) wastes everyone's time. Many states now allow electronic voting, but boards don't have the tools to do it properly.

The Solution

BoardSync gives HOA boards a structured space for asynchronous governance. Board members propose motions with supporting documents, discuss in threaded conversations, and vote on a defined timeline (24 hours, 48 hours, 1 week). The system tracks quorum automatically, records every vote with timestamps, and generates official minutes from the decision record. It's not a full HOA management platform — it's laser-focused on the one thing boards need most: a way to make decisions without scheduling meetings.

Portfolio Connection

Born directly from the Sea Pines CSA experience — Doug has watched board decision-making happen in fragmented email chains. BoardSync is a natural standalone module that could later integrate with GateKeeper as the governance layer. Same ICP (HOA boards), same buyer (board presidents/managers), natural cross-sell opportunity. The workflow state machine patterns from Sea Pines' 47-page spec directly inform the motion → discussion → vote → resolution lifecycle.
